View full libraryOne of my regular clients got in touch after advertising an Admin Assistant role on Indeed. Within two days, they’d received over 20 applications, but three stood out for the wrong reasons. The CVs looked suspiciously similar, with identical wording across entire sections, inconsistent LinkedIn profiles, and vague contact details. One even listed the same job experience as another applicant, word for word.
While the client was pleased with the initial volume, they were worried about progressing potentially fraudulent or AI-generated applications, and they wanted to make sure this didn’t happen again. I stepped in to help.
The team were at risk of investing time into unsuitable or deceptive candidates. Their recruitment process was compliant, but didn’t have strong enough filters or verification tools in place to manage poor-quality or suspicious applications.
They also wanted to make improvements without introducing unnecessary barriers for genuine applicants or overwhelming hiring managers.
I helped them strengthen both their shortlisting approach and overall recruitment process, using a mix of smart filtering techniques and practical tools from the Recruitment Documents and Templates Library.
Verified the inconsistencies — we reviewed CVs side by side and used LinkedIn to cross-check experience and dates.
Reported fraudulent profiles — advising the client to flag applications with Indeed’s Trust & Safety team.
Refined shortlisting criteria — focusing on quality over quantity and encouraging the team to apply a consistent, documented approach.
We used the Shortlisting Matrix Template to create a scoring system based on essential and desirable criteria, helping them remove any bias and stay focused on job-relevant evidence.
With the immediate concerns addressed, we moved on to embed longer-term improvements:
We introduced pre-screening questions within the job ad itself, encouraging candidates to demonstrate attention to detail and confirm their right to work in the UK. These were added using the Job Advert Template as a base.
The client added a simple, tailored application form to their process using the Job Application Form Template — making it easier to collect consistent, relevant information instead of relying solely on uploaded CVs.
We added a short, role-relevant task to the next recruitment round using the Interview and Assessment Pack. This helped the team evaluate real-world skills, not just written applications.
We restructured the full process using the Recruitment Checklist to ensure everything was consistent, transparent, and well-documented from advert to offer.
Within a few weeks, the client filled the role but with much greater confidence in the quality and authenticity of their shortlist. They also saw:
A sharper drop-off in unsuitable applications due to better screening in the advert and form.
More focused shortlisting using a documented matrix; removing guesswork and bias.
Improved candidate experience, as communications were faster and more professional.
Greater confidence from the hiring manager, who now had structured tools for every stage.
The combination of practical tools and minor process tweaks helped reduce risk and improve outcomes without increasing workload.
