Resolving a workplace conflict

One of our clients reached out after noticing rising tensions within their teams. While no major issues had occurred, disagreements were starting to affect collaboration and productivity. They wanted guidance to prevent conflicts from escalating and to strengthen their overall workplace culture. I stepped in to help.

Resolving a workplace conflict

The Concern

The client’s managers were struggling to address conflicts consistently, and employees were unsure how to raise issues safely. Existing policies were vague, and there was no structured approach to mediation or follow-up. The client needed a solution that would be practical, proactive, and easy to implement without creating unnecessary bureaucracy.

My Support

I worked with the client to develop a structured conflict resolution framework, focusing on preparation, prevention, and effective management. Here’s how we did it:

Step 1: Establish a Conflict Resolution Policy

We created a clear, step-by-step policy outlining how to report conflicts, investigate concerns, and resolve issues constructively. Employees received training on conflict resolution techniques, effective communication, and problem-solving strategies to ensure everyone understood their role in maintaining a positive workplace.

Step 2: Create Open Communication Channels

I helped introduce an open-door policy and designated trained mediators to support employees in raising concerns safely. This created a safe and neutral space for dialogue and encouraged early reporting of issues before they escalated.

Step 3: Promote a Positive Work Culture

We organised team-building activities to strengthen relationships and collaboration. Additionally, we worked with management to clarify expectations around professional behaviour, empathy, and respect, reinforcing a culture of cooperation.

Step 4: Document Policies and Procedures

All employees were given access to the conflict resolution policy via the intranet, and detailed records were kept of reported conflicts, investigations, and outcomes. This allowed the client to identify patterns and improve processes over time.

Step 5: Manage Conflicts Effectively

When conflicts arose, I guided the team through a structured six-step approach:

The Outcome

Within a few months, the client reported a significant improvement in team dynamics. Conflicts were resolved constructively, communication became more transparent, and managers felt confident handling disputes. Employees knew how to raise concerns safely, and the organisation had a clear, structured framework to manage conflicts effectively.

The combination of clear policies, practical tools, and structured guidance allowed the client to reduce workplace friction while maintaining a positive and collaborative culture.
