What is a commendation letter?

A commendation letter provides a simple and professional way to formally recognise an employee when they have made a particularly valuable contribution. It can be used for an individual achievement, exceptional effort, positive behaviour or support that deserves more than an informal thank you.

Recognising positive contributions

The letter should explain what the employee has done and why it has been appreciated. Keeping the recognition specific makes it more meaningful than a general statement of good performance.

When to use it

Use a commendation following an exceptional achievement, successful project, customer compliment, significant improvement, demonstration of company values or an occasion where an employee has gone beyond normal expectations.

Making recognition meaningful

Where possible, describe the impact of the employee's contribution, such as helping colleagues, improving a process, supporting a customer or achieving an important business result. This gives the employee a clear understanding of what they have done well.

Keeping a positive record

A written commendation can be retained as part of the employee's personnel record and may provide useful evidence of positive contribution when discussing development, performance or future opportunities.

Example

An employee is asked to help resolve a production issue that has caused delays to a customer order. Although the issue falls outside their normal responsibilities, they work with colleagues to identify the problem and help get the order completed on time.

Their manager sends a commendation letter thanking them for taking ownership, supporting colleagues and maintaining a positive approach under pressure. The letter specifically explains how their actions helped protect the customer relationship and avoid further disruption.

The commendation is shared with the employee and retained on their personnel record. The manager also refers to the example during the employee's next one-to-one discussion as an example of the organisation's values in practice.

Equality and consistency
