Cleaner Duties and Cleaning Instructions

Cleaner Duties and Cleaning Instructions

Purpose

This document outlines the cleaning duties expected of the workplace cleaner. The objective is to maintain a clean, safe and hygienic environment throughout all office, rest and production areas.

All duties should be completed to a consistently high standard. Any task that cannot be completed due to access restrictions, operational requirements or safety concerns should be reported to the General Manager.

Cleaning Equipment Segregation

To prevent cross-contamination, cleaning materials must be kept separate and only used within their designated areas.

  • Blue: Offices, meeting rooms and reception areas.
  • Green: Kitchens and food preparation areas.
  • Yellow: Rest areas, canteens and welfare facilities.
  • Red: Production areas.
  • White: Toilets and washrooms.

Cloths, mops, buckets, brushes and any other cleaning equipment must not be used in multiple areas. Cleaning water should be changed frequently. Cleaning equipment must be cleaned after use and stored in the designated cleaning cupboard.

Example

At Precision Components Manufacturing Ltd, a single cleaner was responsible for maintaining offices, welfare facilities, toilets, and production walkways. Historically, cleaning standards varied depending on workload and there was no clear documentation setting out responsibilities or frequencies.

Following an increase in customer audits and a rise in employee complaints regarding washroom cleanliness, the company introduced a formal Cleaner Duties and Cleaning Instructions document. The document established daily, weekly, and monthly cleaning schedules, introduced colour-coded cleaning equipment to prevent cross-contamination, and required cleaners to sign off completed tasks.

Managers conducted regular spot checks and provided additional COSHH training. The cleaner was also instructed to immediately report hygiene concerns, spillages, damaged facilities, and low stock levels for consumables such as soap, paper towels, and toilet rolls.

Within six months, internal housekeeping audit scores increased from 78% to 96%. Employee complaints relating to cleanliness reduced by over 80%, while customer audit findings relating to housekeeping reduced to zero. The company also reported fewer slip hazards, improved hygiene standards in welfare facilities, and better employee satisfaction scores regarding workplace cleanliness.

The introduction of clearly defined cleaning responsibilities helped ensure consistency, improved accountability, reduced health and safety risks, and created a cleaner and more professional working environment for employees and visitors alike.
