The challenge

A requirement for practical HR support

Concept AV Controls came to HRDocBox following a recommendation from another business. They needed practical support with reviewing their existing HR documentation and responding to a number of new requirements from a client.

The initial requirement covered their job offer, employment contract and employee handbook , alongside several new policies required by their client.

The work required more than simply supplying documents. Existing materials needed to be reviewed, adapted and brought together into a coherent HR framework.

2026 review

Bringing the handbook up to date

The handbook was reviewed and updated for 2026, with changes made across a wide range of employment and workplace issues. The review considered current employment legislation, ACAS guidance and HR best practice to ensure the documentation remained appropriate and up to date.

Updated sickness provisions, including the 2026 SSP changes.

Family leave

Updated paternity, parental and redundancy protection provisions.

Flexible working

Updated to reflect the current statutory flexible working framework.

Equality & inclusion

Strengthened equality, diversity, reasonable adjustment and anti-harassment provisions.

Whistleblowing

Updated protected disclosure and reporting provisions.

UK GDPR & AI

Updated privacy provisions and added guidance around generative AI and confidential information.

Contract review

Strengthening the employment contract

The employment contract was also reviewed to identify wording that could create unnecessary risk or did not accurately reflect the Company's intended arrangements.

Changes included both legal compliance updates and practical improvements to give the Company clearer contractual protection.

Removed an unintended contractual guarantee of a salary increase.

02 Secondary employment

Clarified when outside work or business interests may be restricted.

03 Sickness & company sick pay

Updated certification, SSP and company sick pay provisions.

04 Family leave & flexible working

Added clear references to current statutory rights.

05 Restrictive covenants

Added proportionate customer and employee protection provisions.

06 Contract variations

Replaced an overly broad variation clause with more appropriate wording.

Reducing HR risk

More than bringing documents up to date

The review was not simply about updating wording. Each document was considered against current employment legislation, ACAS guidance and HR best practice, helping to identify and reduce potential areas of legal, contractual and operational risk.

Unintended contractual commitments

The contract was amended to remove wording that could have created a contractual entitlement to a salary increase following probation.

Risk reduced Without the change, an employee could potentially have argued that the promised increase was a contractual entitlement rather than a discretionary salary review.
Employment law

Outdated statutory information

Sickness absence, SSP, paternity, parental leave, flexible working and redundancy protection provisions were reviewed and updated for 2026.

Risk reduced Without the updates, employees could have been given information that no longer reflected their statutory rights, potentially creating disputes and additional management risk.
Equality & employee relations

Clearer protection for employees and the business

Equality, reasonable adjustments, harassment, whistleblowing and recruitment provisions were strengthened and modernised.

Confidential information and generative AI

The IT and communications provisions were updated to introduce clearer guidance around generative AI and confidential information.

Restrictive covenant provisions were introduced to provide proportionate protection around customers, clients and employees.

Clearer processes for managers

Disciplinary, suspension, sickness, expenses and other procedures were clarified and modernised.

From documentation to hands-on HR support

The support provided to Concept AV Controls extended beyond reviewing and creating documentation. HRDocBox also provided practical, in-person HR support to help the business plan and manage a challenging employee exit.

This involved working with the business to plan the approach, consider the appropriate process and provide practical support through the exit itself.

Having experienced HR support available in person gave the business the confidence to manage a difficult situation in a structured and appropriate way, alongside the wider documentation and policy work being undertaken.
