What is a hybrid working trial period feedback form?

Hybrid working trial period feedback form template preview

This form provides a practical framework for reviewing a temporary hybrid working arrangement at or near the end of an agreed trial period. It is designed to encourage a two-way discussion rather than treating the review as a simple assessment of whether homeworking has been successful.

Reviewing the employee's experience

The form gives the employee an opportunity to explain what has worked well, what has been difficult and whether the agreed arrangement has supported their ability to perform their role effectively.

Assessing performance and productivity

The review considers whether expected work, deadlines, service standards and responsibilities have been maintained during the trial. It focuses on outcomes and evidence rather than assuming that physical presence or remote working automatically determines performance.

Considering communication and teamwork

Hybrid working can affect communication, collaboration, supervision and access to colleagues. The form helps identify whether the arrangement has created any practical difficulties and what changes could improve the way the team works.

Considering wellbeing and working arrangements

The review considers workload, work-life balance, working environment, technology and wellbeing. It also provides an opportunity to identify whether further support or reasonable adjustments may need to be considered.

Agreeing the next step

The review records whether the arrangement should continue, continue with changes, be extended for further assessment or end and revert to the previous working arrangement. Any agreed changes can be recorded clearly so that both parties understand what happens next.

Best in class example

An employee agreed to a three-month hybrid working trial involving two days working from home and three days at the workplace each week. The arrangement was introduced to test whether the role could be performed effectively with greater flexibility while maintaining team collaboration and customer service.

During the trial, the employee reported that they were able to concentrate better on certain administrative tasks when working from home. Their manager also found that deadlines and output had been maintained. However, there were some difficulties arranging informal discussions with colleagues and the employee had occasionally missed opportunities to contribute to discussions taking place in the workplace.

At the review meeting, the manager and employee discussed the issues and agreed that the arrangement was broadly working but could be improved. They agreed that team meetings and certain collaboration days would normally take place in the workplace, while focused individual work could continue to be carried out remotely.

The trial was therefore extended for a further two months with the revised arrangement. A further review date was agreed and the changes were recorded in writing so that both parties had a clear understanding of the arrangement.

HR considerations

UK employment law and best practice

This template is designed to support the process, but the document should be used alongside the relevant HR procedure and applied to the circumstances of the individual case.

Hybrid working arrangements

Acas recommends that employers have a policy explaining how home and hybrid working operates, including how arrangements are agreed, how roles are assessed, how employees are supported and how arrangements are reviewed. https://www.acas.org.uk/policies-for-home-and-hybrid-working

Trial periods

Acas's example flexible working policy recognises that where there is uncertainty about whether an arrangement is practical, an employer and employee can agree a trial period. The trial should be put in writing, including the start and end dates and the temporary nature of the arrangement. https://www.acas.org.uk/example-flexible-working-policy-template

Reviewing a trial

Acas recommends reviewing hybrid working arrangements and consulting employees about how arrangements are working. Reviews can consider the needs of the organisation and employee and whether changes should be made. https://www.acas.org.uk/policies-for-home-and-hybrid-working

Performance and supervision

Flexible and hybrid working arrangements should include appropriate arrangements for supervision, communication and measuring performance. Employers should focus on how work is managed and outcomes are achieved rather than assuming that employees need to be physically present to be productive. https://www.acas.org.uk/implementing-flexible-working/having-a-policy

Statutory flexible working

Employees have a statutory right to request flexible working from the first day of employment and can make up to two statutory requests in a 12-month period. A trial arrangement may be part of an agreed approach to considering a flexible working request, but employers must still follow the applicable statutory process where the request is a statutory flexible working request. https://www.acas.org.uk/statutory-flexible-working-requests

Reasonable adjustments

If hybrid or home working is requested as a reasonable adjustment because of a disability, the employer should consider the request under its reasonable adjustment responsibilities and should not treat the arrangement simply as an ordinary flexible working preference. https://www.acas.org.uk/reasonable-adjustments

Health and safety

Employers should consider health and safety when employees work from home or another agreed location, including whether the working environment and equipment are suitable and whether appropriate risk assessments or other measures are required. https://www.hse.gov.uk/lung-disease/home-working.htm

Data protection and information security

Employees working remotely may handle personal, confidential or commercially sensitive information away from the workplace. Employers should have appropriate technical and organisational measures to protect information and should make employees aware of relevant security requirements. https://ico.org.uk/for-organisations/uk-gdpr-guidance-and-resources/security/

Changes to contractual arrangements

Where a temporary trial becomes a permanent change to contractual terms, the employer should confirm the agreed changes in writing. Acas recommends putting agreed changes to employment contracts in writing within one month. https://www.acas.org.uk/changing-an-employment-contract/employer-responsibilities/if-employment-contract-changes-are-agreed

Equality and consistency

Employers should apply hybrid working arrangements fairly and avoid practices that directly or indirectly discriminate against employees. Individual circumstances, including disability and reasonable adjustment requirements, should be considered where relevant. https://www.acas.org.uk/discrimination-and-the-law

FAQs

What should a hybrid working trial review consider?

The review should consider whether the arrangement is working for the employee and the organisation, including performance, productivity, communication, teamwork, workload, customer service, wellbeing, technology and any operational issues.

How long should a hybrid working trial last?

There is no universal statutory trial period. The employer and employee should agree a period long enough to properly assess the arrangement. Acas's example flexible working policy allows employers and employees to agree and record a suitable trial period.

Can a hybrid working trial be extended?

Yes. If there is not enough information to make a decision, the parties can agree to extend the trial. The revised end date and any changes to the arrangement should be confirmed in writing.

Can the employer end the hybrid working arrangement after the trial?

A temporary trial can be ended in accordance with the arrangements agreed at the outset. If the arrangement has become contractual or the employee has a statutory flexible working arrangement, the employer should consider the contractual and legal position before requiring the employee to revert to their previous working pattern.

What if the employee says hybrid working is needed because of a disability?

The employer should consider whether the request may amount to a reasonable adjustment under the Equality Act 2010. The employee's individual circumstances should be considered rather than treating the request solely as a standard hybrid working arrangement.
