Used if an employee has requested annual or other special unpaid leave, has had their request declined for legitimate business reasons but has stated that they intend to take the period of leave anyway.

This letter is recommended to be issued to the employee before the period of intended unauthorised absence begins.

It has now come to our attention that you have indicated to [name(s)] that you intend to take leave anyway between the above dates, regardless of the fact that this has clearly not been authorised. In the circumstances, we must advise you that not only will you not be paid for this leave but also that it will constitute unauthorised absence. Unauthorised absence is a serious disciplinary offence amounting to potential gross misconduct. As such, we must warn you that if you do take this period of leave, you will be subject to disciplinary action upon your return and the outcome of a disciplinary hearing could result in your summary dismissal from employment.

We do hope that you will now reconsider your position accordingly.
